Administrative Assistant (Job Opening 461163) - Functions as an Administrative Assistant providing administrative support to the Director-Operations and the Director-Clinical Trials of the Clinical Trials Office (CTO) in the Comprehensive Cancer Center; provides daily management of administrative office to ensure appropriate coverage, appearance and maintenance of physical location; plans, coordinates and implements daily activities and operations of the CTO; participates in developing, implementing and assessing operational policies and procedures; coordinates appointment calendars and meeting schedules of directors; plans and organizes meetings and special events including venue, catering, and equipment requirements; independently responds to routine correspondence; prepares, edits and finalizes communication and correspondence from directors, reports, presentations and meeting materials; makes travel and lodging arrangements; prepares and tracks reimbursement of expenses; assists with fiscal and human resources functions as needed; assists and prepares annual budget proposals; reviews and monitors expenses; serves as primary CTO point of contact for cancer researchers, faculty, administrators, staff and students; provides information and responds to inquiries related to research projects, human subject protections and regulatory guidelines, and CTO operations; actively participates in regulatory and/or sponsor site visits, as well as internal and external compliance audits; collects, compiles and organizes information and data to complete required grant reporting; performs review and analysis of special projects and provides progress reports; researches, interprets and compiles information, statistics and other data to aid directors and other research leadership in making strategic and tactical decisions; conveys directives; has authority to act in the absence of management and exercises discretion to make decisions as it relates to departmental administrative operations.
Education and Experience
Per CCS Specifications; six months experience (600 hours course work or training) in customer service or communications, including researching, analyzing & interpreting information; three months experience (300 hours course work) in budgeting; six months experience (600 hours training) in operation of spreadsheet, publication, and/or presentation software and related computer equipment; three months experience (300 hours course work) in supervision management; three months experience (300 hours course work) in interviewing. Requires successful completion of a background check. Selected candidate may be requested to complete a pre-employment physical including a drug screen.
